Lease or Buy Your New Office Furniture and Fit Out?

Leasing office furniture and equipment is a great option for many companies depending on their office equipment and furniture needs, financial situation and line of business.

Often companies do not have or do not wish to tie up capital available to buy office furniture and equipment outright; or to finance a fit out or relocation.  Understandably companies are generally also not keen to tie up crucial bank credit lines for this type of project. Leasing allows them to spread the cost over two, three, four or five years, acquiring the solution that meets their long-term needs rather than that which their current budget and cash flow dictates. It also allows businesses to carry out refurbishments straight away. Lease payments are fixed for the term of the lease – normally 2-5 years – making it easy to budget for a monthly, quarterly or even annual payment and budget accordingly.

However, leasing office equipment and furniture ties businesses into an on-going agreement so it is therefore very important to think carefully about what the office furniture and equipment needs and also about the way the business is likely to develop in the future. Key factors to consider are how often a company relocates, how important is it to keep up with technology changes and is it important to use capital budget for R&D marketing or staff rather than office refits and refurbishments? In these cases, leasing may well be the ideal way to keep the workplace current and to ensure that upgrades can be organised with minimum hassle in the future.

Nowadays, the right workspace – including acoustics, lighting, flooring, decoration and furnishings – play an important role in attracting and retaining the right kind of staff. After all, creating an ergonomic space with appropriate tools for a person to do their job well benefits employers through increased productivity and reduced absenteeism. But innovative, creative spaces normally require new equipment and furniture. With leasing companies can create the exactly right image and environment, deciding exactly what furniture and equipment they want (including a custom build) and have it financed under a lease agreement.

When deciding whether to lease or buy, companies should review their cash reserves, cash flow and credit lines, and ensure they understand the terms and conditions of the lease, for example, what happens at the end of the lease; are upgrades included; required insurance on the equipment as well as early cancellation fees. Understanding exactly what the business needs are and what the purpose of the office equipment, furniture or refit is will help companies to make the right decision.

Leasing VOIP Telephony Equipment As Part Of Your Office Fit Out

When WestWon moved to its new offices at the Old Rectory in Beaconsfield, Bucks, we undertook a major office fit out – everything from desks, chairs, partitions to boardroom furniture and flooring to laptops and AV equipment. Being a character building, the Old Rectory is full of charm … and also quirks, as we discovered when it came to fitting it out.

Naturally, as a leasing company, leasing the fit out was the obvious solution for us. And as part of our office refit we took the decision to install a new Voice Over IP (VOIP) telephone system – telephony equipment that uses the internet as opposed to a “normal” land line.

Leasing technology as well as furniture

Initially we were slightly dubious about the technology. Will it work? Will the service be secure and reliable? Will the sound quality be OK? Such doubts were unfounded.

Thus far, leasing our telephony has proved a sound business decision. The running costs are not just significantly lower, but the system also offers a number of key benefits.  One example is how well it integrates with our CRM system – simply ‘right click’ on any telephone number in the system and press dial and, within seconds, we’re having a conversation. It is also very easy to set up the system for use from home as long as you have a laptop and an Internet connection.

Of course, WestWon has also helped many other companies, large and small, to secure lease finance for their office fit out including telephony systems. In our experience, many sales organisations also choose to install a PBX system on the wall to monitor activity – quite an expensive item and ideal for leasing.  And in general, at around £100 per CISCO handset together with the set up costs, telephony leasing certainly has its attractions for both established and new start up businesses.

UK Office Furniture Leasing Is Growing Fast in 2013

October 2008 is a date that many companies in the office furniture leasing sector remember well.  It was the time when a lot of UK business owners suddenly found themselves facing the stark realities of what they were being told was going to be a nasty and prolonged recession.  The term “credit crunch” was being widely used in the press and, being an office furniture leasing company, we knew only too well how serious the implications might be.

As a leasing company, WestWon has historically dealt with a wide range of suppliers of capital equipment spanning computers, hardware and software through to waste and scientific equipment.  We have always been specialists in office furniture leasing and office fit out leasing, which includes the ‘soft’ costs that a company incurs when refurbishing or moving premises, such as decoration, lighting and flooring.

Office furniture leasing and the credit crunch

Thus, in 2008, when the credit crunch hit, office equipment leasing was an important part of our business and although we saw an immediate and significant downturn in business across the board, the sector that was hardest hit was the office furniture leasing side. It seemed that overnight companies simply put their plans to move offices on hold.

As a result, over the past five years, many office furniture companies have closed their doors. However, those, including WestWon, that were able to weather the storm are starting to see strong signs of recovery.
